Club Adminstration

The administration of your Rotary club is ultimately under the supervision of your club’s board of directors, which you lead. Your club leadership team, particularly the club administration committee, should assist you with your administrative responsibilities in order to increase the effectiveness of club operations.

The Club Leadership Plan is the recommended administrative structure for Rotary clubs. Under this plan, effective club administration is key to carrying out your club’s annual and long-range goals. In order to implement the Club Leadership Plan, Rotary clubs develop standard procedures for continuity, communication, and Rotarian involvement. The plan’s simple committee structure focuses on the central functions of a club and can be expanded to address club service goals and fellowship.

Responsibilities As president-elect, you have the following club administration responsibilities:
• Appointing and meeting with your club administration committee
• Knowing your club’s administrative policies and procedures by reviewing the most recent versions of the Standard Rotary Club Constitution and Recommended Rotary Club Bylaws.

Club Administration Committee
Ensuring effective club administration is a collaborative effort. As club president, you lead this effort while the club administration committee carries out the specific responsibilities. Include the club administration committee as one of the five standing committees of your club. Your club may amend its bylaws to reflect the specific responsibilities of this committee, adding subcommittees as needed.
The club administration committee should help carry out your club’s annual
goals. The club secretary and treasurer should be members of this
committee. The chair of this committee, appointed by you, should be part
of your club leadership team.
Your club administration committee has the following responsibilities:

Our outlook towards a bigger, better and bolder club

When Paul Harris, the father of Rotary, began meeting with other professionals, he probably had business in mind. He thought he could expand his circle of friends and create a larger potential customer base. Why do so many Rotarians today think this is wrong?

Most people join Rotary to network, business or otherwise. It is simply good thinking to associate with established business professionals and community leaders. These are the type of people who contribute time, talent and treasure towards making communities a better place to live

Let’s look at the first “Object of Rotary”, THE DEVELOPMENT OF AQUANTANCE AS AN OPPORTUNITY FOR SERVICE. This approach in reaching out to new potential members is often overlooked. It is also forgotten when we assess our existing members. Are we so concentrated on projects and programs in Rotary and simply overlooking basic networking and friendship requirements?

Let’s not lose sight of what is important. Yes projects and programs are vital, but if we don’t keep our eye on the ball and continue to satisfy our member’s (the club’s customers) needs, new growth and strengthening our existing club will not happen. Rotary is changing with the times. Our outlook toward a bigger, better and bolder club must change as well.

Goals of the Membership Committee
  • To use all available tools to promote RC of Weston in the community and attract viable new members who share ideals of “Service Above Self”
  • Educate existing members in all aspects and at all levels of the Rotary organization and encourage participation in club, district and international programs.
  • Organize and maintain an updated classification list and actively stay in communication with former members.

Public Relation Committee

Public relations is essential to Rotary’s future.  It informs communities around the world that Rotary is a credible organization that meets real needs. It also motivates Rotarians to be active members in their club and district. Every Rotary club should develop and execute a successful public relations plan to be effective in the community. The plan can take many forms, from promotion of a visiting Youth Exchange student in the club bulletin to newspaper coverage of an interesting club project.

The club public relations committee should develop and execute a plan to inform the public about Rotary and promote the club’s service projects and activities. As the main spokesperson for the club, the president will help implement and continuously evaluate the club’s public relations plan.

Include the public relations committee as one of the five standing committees of the club. The club may amend its bylaws to reflect the specific responsibilities of this committee.

The club public relations committee has the following responsibilities:

• Achieving club public relations goals for the coming year
• Familiarizing themselves with RI resources
• Creating awareness of club activities among club members, media, and the general public
• Enhancing projects and activities to make them more appealing to the media
• Helping to create a public image conducive to membership development

Avenue of Services

For years, Rotary’s commitment to Service Above Self has been channeled through the Avenues of Service, which form the foundation of club activity. To get started on a project, think broadly about how your club and its members could contribute within each avenue.

Club Service

Club Service focuses on strengthening fellowship and ensuring the smooth functioning of Rotary clubs.

Vocational Service

Vocational Service involves club members serving others through their professions and aspiring to high ethical standards. Rotarians, as business leaders, share skills and expertise through their vocations, and they inspire others in the process.

Community Service

Community Service is the opportunity  Rotary clubs have to implement club projects and activities that improve life in the local community.

International Service

International Service encompasses efforts to expand Rotary’s humanitarian reach around the world and to promote world understanding and peace. It includes everything from contributing to PolioPlus to helping Rotary Youth Exchange students adjust to their host countries.

New Generations Service

New Generations Service recognizes the positive change implemented by youth and young adults through leadership development activities with club service projects, and creating international understanding with Rotary Youth Exchange.

Community Service

Community Service is at the core of the Rotary Club of Weston’s purpose. Through Community Service, the Rotary Club of Weston seeks to affirm and provide an important venue for “Service Above Self.”

The Rotary Club of Weston focuses on projects where the Club can provide volunteers or funding that render services for children and families in need. While our geographic center is Weston, our projects can include addressing needs in greater Broward County. We seek to undertake projects that can best utilize the Rotary Club of Weston’s member resources. These include the Club’s human capital, its member talents, interests, time and capability availability. Community service opportunities are designed to produce results and as a side benefit, provide personal and club pride.

Our Family Members

The day that a person becomes a Rotarian marks the beginning of many years of involvement and achievement. This event warrants a memorable and meaningful induction ceremony to welcome the new member to the club. Invite the club member’s family to attend, and encourage all members of the club to participate in welcoming the new member and spouse. Allow enough time after the formal ceremony for personal introductions to every member of the club, some guidelines and suggestions for fellow Rotarians:.

    • To establish a “Rotary Family Committee” in your club in order to assist any projects or events that involve non-Rotarian ie. Family members of Rotarians.
    • To have seminar and training for new Rotarians (spouses and children of new Rotarians are invited to join).
    • Recruit family members like spouse and matured children to become Rotarians through various service and fellowship gathering.
    • To have a system in order to track members that has missed regular meetings and encourages them to attend other Rotary events.
    • Invite partners and children of Rotarian to attend our regular meetings and events.
    • Encourage new Rotarians and their partners to take part in projects.
    • Give Rotary Publication to family members in order to enrich their Rotary knowledge.
